Digitail’s new SOAP record interface gives you a cleaner, faster, and more functional way to work — while keeping everything you need in one place.


This guide walks you through:

  • Refreshed UI – a modern layout that makes navigating and completing records quicker and more intuitive.

  • Markdown Functionality - Clearer communication with bold, bullet points, tables, and more

  • Section notations – see at a glance whether a section is pre-filled by a template or filled in by a team member.

  • Expanded tools – a new Documents section

  • Future-ready design – this is the first step in our SOAP improvements, with more functionality on the way.


Top Navigation Bar

The top navigation bar helps you quickly move between the key areas of a record. Each icon represents a specific section or workflow tool, giving you fast access without scrolling through the page.

Record-Level Shortcuts (left side)

  • Summary icon – Jump to the Summary section

  • Documents icon – Jump to the Documents section.

  • S – Jumps to the Subjective section.

  • O – Jumps to the Objective section.

  • A – Jumps to the Assessment section.

  • P – Jumps to the Plan section.

  • Billing Total – Jump to the Billing section, and it shows the current invoice total.


Tools & Communication (right icons)

  • Save icon (cloud) – Displays the auto-save status for the SOAP.

    • When the icon is solid, your changes have been saved.

    • You can also click the cloud icon at any time to manually save the record.

  • Search icon – Search within the SOAP to quickly jump to keywords or sections.

  • Comments icon – Add or view internal comments for the record.

  • Share/Export icon – Access sharing or export options for the SOAP.

  • More Actions (⋮) – Options to duplicate or delete the record (based on your user permissions).

Record Status

  • Status Selector – Shows the current Record Status (Draft, In Progress, Locked, or Hospitalized).

    • You can update the status directly from this dropdown based on your workflow.

Version Toggle

  • Switch between SOAP v1 & v2


📑 SOAP Sections Breakdown

1. Summary

  • Same as before — visit date, services, staff, and internal notes.

2. Documents (New!)

All documentation related to the visit is in one place:

  • Treatment Plans (Estimates) – build and manage directly in the record

  • Files – upload documents, diagnostic images, or use Tails Vision

  • Consent Forms – store signed client consent forms

  • Certificates – manage vaccination and patient certificates

🟢 Tip: Use the Documents section as your central hub. Upload lab results, consent forms, and certificates here to keep everything tied directly to the patient’s record.

3. Subjective

  • Capture Pet Parent-reported history and observations

4. Objective

  • Record measurable, clinical findings:

    • Vitals (temperature, pulse, respiratory rate, body condition, attitude)

    • Physical Exam by body system (ophthalmology, respiratory, digestive, etc.)

    • Lab & Diagnostics and Body Mapping

5. Assessment

  • Record your interpretation of findings: provisional and final diagnoses

  • Section notations highlight template vs. staff-entered content

6. Plan

  • Services & Products – treatments and procedures

  • Medications – prescriptions align with Health Card & Pet Parent App

  • Discharges & Recommendations – client-facing instructions and handouts

  • Tasks – assign to team members for follow-up or in-hospital care

  • Follow-Up – schedule rechecks or future visits directly

🟡 Important: Services, Products, and Medications added in the Plan section will automatically sync with Billing. Double-check before finalizing to avoid missed charges.

7. Billing

  • Automatically pulls in services, products, and medications from the Plan

  • Apply discounts, add charges, and log payments


🔄 Transition from the Old Record

  • Old records remain accessible

  • Switch between Record Versions – use both old and new records while you adapt

🔵 Note: Your old SOAP versions remain fully accessible. You can view and edit them at any time. Both the old and Beta versions are available side by side, so you can adapt at your own pace.


Once you’re ready to fully use the new SOAP version, you can enable a clinic-level preference that restricts use to the new SOAP only. This setting is located under Clinic Preferences → General Section.



Record Status

Each record has a status that reflects its stage in your workflow. These statuses help you understand whether a record is editable, shareable, or completed. You can update the status at any time based on your clinic’s internal processes.

Draft

Color: Grey
Use Draft when you’re preparing a record ahead of a Patient’s visit or when you need to start documenting early.

  • The record is not shareable in this state.


In Progress

Color: Orange
This status indicates that the SOAP is actively being worked on.

  • The record is numbered and shareable

  • It will auto-lock after a set timeframe, based on your Clinic Preferences.

  • You can also lock the record manually when the documentation is complete.


Locked

Color: Blue
This status is used when all treatment and documentation are complete.

  • The record becomes locked, and no additional changes can be made to the notations.

  • It can only be unlocked by users with the appropriate permissions.


Hospitalized (optional setting)

If toggled on, the record will display as Hospitalized, which updates both the Flowboard and Whiteboard to reflect the Patient’s status in the hospital workflow.


Workflow Flexibility

Record statuses can be adjusted at any time to match your clinic’s documentation process. Choose the status that best aligns with where you are in the visit workflow.

  • Leverage section notations – quickly spot pre-filled vs. staff-entered content

  • Use the Documents section – keep all files, forms, and certificates tied to the record

  • Pair with Templates (Beta) – speed up data entry with pre-populated fields


❓ Frequently Asked Questions

Will my old records disappear when switching to the new SOAP (Beta)?
No, all old records remain untouched.


Can I edit records created in the old format?
Yes. You can still access and edit any existing records created in the old version.


Do templates still work with the new SOAP?
The New Record Templates are supported and can help you pre-populate fields for faster, consistent data entry.


How do I upload lab results, radiographs, or client forms?
Use the new Documents section. You can upload files, manage consent forms, and even verify certificates from here.


Can I create treatment plans (estimates) in the new SOAP?
Yes — estimates can be created and managed directly in the Documents section.


How does billing work in the new SOAP?
Anything added in the Plan (services, products, medications) flows automatically into Billing. From Billing, you can apply discounts, add extra charges, and record payments.
