How to Add or Troubleshoot Missing Inventory Items in Digitail

Updated today

Managing inventory in Digitail involves adding items and resolving issues with products not appearing. This guide provides step-by-step instructions for adding inventory items and troubleshooting common visibility issues.

Adding New Inventory Items

If you are an Administrator, you have full access to enabled features in Digitail, including inventory management. Follow these steps to add new items:

  1. Navigate to Inventory → Directory → Products.

  2. Click Create Product to add a new item.

  3. After creating the product, go to Inventory → Orders → Add New Order to record a stock order for the item.

  4. Ensure the stock order is marked as Received. Only then will the product be usable for sales and appear as available in your inventory.

By following these steps, you can successfully add and manage new products in your inventory.

Resolving Inventory Visibility Issues

If a product does not appear in your inventory or product list, it is often due to filters or stock order statuses. Here are steps to resolve these visibility concerns:

  1. Check Active Filters - The "In Stock" filter may hide products with zero stock quantity. - Go to your product directory and uncheck the "In Stock" filter to display all items, including those with zero quantity.

  2. Verify Purchase Order Status - Products linked to purchase orders marked as "Draft" or "Pending" may not appear in your inventory. - Navigate to Inventory → Documents → Purchase Orders. - Locate the relevant order and mark it as Received.

  3. Check Product Status - Inactive products are hidden from normal inventory searches. - Navigate to Inventory → Directory → Products and include inactive products in the search. - If the product appears as inactive, enable it by selecting the product and clicking Enable. Once enabled, the product will become searchable and usable in your inventory and patient records.

Following these steps should resolve most visibility issues.

Checklist for Common Inventory Errors

  • Ensure filters like "In Stock" are correctly set.

  • Verify that purchase orders are marked as "Received." Orders still marked as "Draft" or "Pending" will not update inventory.

  • Search for inactive products and enable them if necessary.

By addressing these potential error points, you can maintain an updated and accessible inventory in Digitail.
