What is Time Clock?
Time Clock lets your team log working hours directly in Digitail - no paper timesheets or separate apps needed. Staff clock in and out using a widget that lives on the dashboard, and managers can review, edit, and export all entries from the Timesheet Report.
Time tracking in Digitail has two parts:
Time Clock Widget - used by staff to clock in, take breaks, and clock out
Timesheet Report - used by managers and administrators to review, edit, and export time entries

Where to find it
The Time Clock Widget appears in two places:
My Dashboard - visible at the top of the page on both desktop and mobile, when Time Clock is enabled for your clinic
Profile dropdown - click your profile photo in the top-right corner to access the widget from anywhere in Digitail
📌 Logging into Digitail does not clock you in automatically. You need to use the widget to start your shift.
How to use the Time Clock
Clinic Preference
Your clinic must enable the functionality in Clinic Preferences:
Administration → Clinic Profile → Preferences tab → Enable Time Clock
Staff Account Activation
You must have the "Requires Clock-in" setting enabled on your staff's account. This is a per-user setting that an Administrator can enable:
If you don’t see the option, ask your clinic Administrator to update your User Account.
Widget States & Actions
The widget has three states depending on your current status:

The timer shows how long you’ve been clocked in or on break. You may see confirmation prompts when clocking in or out.
Clock In
Open My Dashboard or click your profile photo to access the widget
Click Start.
When you log into Digitail for the first time that day, you'll also see an automatic prompt asking if you'd like to clock in.
Clock Out
Open the Dashboard or Time Clock Widget.
Click Stop.
📌 If you're still clocked in after 12 hours, Digitail will show a reminder prompt every hour. You can snooze it or clock out.
Take a break
While clocked in, click Break
The widget switches to break mode and starts tracking your break duration
To return from a break:
Click Return
Your break ends and the work timer resumes
Snooze
Most Time Clock prompts include a Snooze option if you're not ready to act immediately. Snooze options are: 15 minutes, 30 minutes, 1 hour, or End of Day.
Other Things You Can Do
Correct a missed clock in or out
If you forgot to clock in or out, a user with Edit Timesheets permission can manually adjust the entry in the Timesheet Report. If you don't have that permission, contact your clinic administrator.

We're extending Time Clock with full Shifts integration, bringing smarter prompts that match each team member's shift schedule.
Shift-aware clock in/out logic - Digitail will automatically know when a staff member is scheduled to work. You'll receive prompts to clock in, start a break, return from a break, or clock out based on your assigned shift times.
Automatic clock-out for missed actions - If you forget to clock out at the end of a shift and your next shift should already have started, Digitail will clock you out automatically at the correct time, notify you, and ask whether you'd like to clock in for the next shift.
Break-time intelligence - Break prompts will become shift-aware too. Digitail will detect when a break should start or end and remind you accordingly, with snooze options that still respect your scheduled break window.
Shift-end and next-shift prompts - You'll receive timely reminders when your shift is ending or when your next shift begins, helping ensure accurate time entries without manual corrections.
Tips & best practices
Get into the habit of checking the widget as soon as you log in - the prompt only appears on first login of the day, so don't dismiss it without clocking in.
Use Break rather than Stop when stepping away mid-shift. Stopping clocks you out entirely.
If you accidentally clock out, ask your Practice Manager to correct the entry in the Timesheet Report - entries can be adjusted with the right permissions.
Keep an eye out for the upcoming Shifts Integration - it will prompt you to clock in and out based on your scheduled shift times automatically.
Common Questions
I can't see the Time Clock Widget on my dashboard
Two things to check: first, confirm that the Requires Clock-in setting is enabled on your user account (an administrator does this from the Team page). Second, confirm that Time Clock is enabled for your clinic under Administration -> Clinic Profile -> Preferences. If both are set correctly and you still can't see it, contact your clinic administrator.
I can't see the Timesheet Report
The Timesheet Report requires the View Timesheet Report permission. If you don't see Reports -> Operational Reports -> Timesheet, ask your clinic administrator to review your user role and permissions.
I forgot to clock in or out
Ask someone with Edit Timesheets permission to correct the entry in the Timesheet Report. They can adjust the start and end times manually.
Does logging into Digitail clock me in automatically?
No - logging in and clocking in are separate. You need to use the Time Clock Widget to start your shift. You'll see a prompt when you log in for the first time each day, but you still need to confirm it.
What happens if I forget to clock out at the end of my shift?
The entry stays open until someone with Edit Timesheets permission corrects it in the Timesheet Report. Automatic clock-out based on your shift schedule is coming in a future update.
Can I be clocked in at more than one clinic at the same time?
No - you can only have one active clock-in entry at a time, and it's tied to the clinic you're currently logged into.
