Recording treatments & services provided, and ensuring accurate billing

Understanding and navigating this regular and repetitive task is crucial for efficient billing workflows.

Searching Products and Services

The services and treatments provided to a patient must be recorded in the Plan section of the SOAP. In the Services & Products tab, of this area you can dynamically search between products and services by selecting the required tab.

The entire active service list is searchable under the service subtab; whilst the product subtab search only active product that have stock available.

❗Products with zero available stock are excluded from the search results

Each product is listed once with the total quantity available across all batches (each batch no longer appears as an individual search result).

The current product Price and Total Quantity available is also visible in the search result list

By default, the product search excludes products that have been designated as consumables; however, you can use the toggle to include these products as searchable as well.

Selecting Products

When you select a product from the list and enter the quantity, the batch or batches required to fill this quantity are automatically assigned.

The batches are assigned using the FIFO (first in, first out) logic which dispenses the quantity from the oldest batch before moving to the next most recent batch.

FIFO stands for First-In, First-Out. It’s an inventory management method where the oldest stock (first-in) is used or sold first (first-out).

You can see the number of batches assigned to the treatment below the product name and view the details of the assignment. You can edit the batch assignment, if necessary, by adjusting batch quantities, removing or adding new batches.

📌The sum of the quantity assigned to each batch must match the dispensed quantity on the treatment

After services and products are added to the Plan section, they automatically sync with the Billing (Sale) section of the SOAP.

Additional services and products can be added to the billing section; however, entries added to the Billing section do not sync back to the plan section.

It is possible to edit the allocated batches of products added directly to billing, in the same way that it is available in the Plan section.

🤔Suggestion: Add services or products to the Billing section that do not need to be part of the patient medical record, for example toys, accessories, etc.

📌The entries that have synced from the plan section cannot be edited in the billing section, as their source lies in the plan (medical) section. Navigate to the plan section to update these entries including the allocated batches.

Counter sales

The counter sale has only a billing section for which the behavior to search and select is the same as the billing section of the SOAP.

❗Only Products can be added to a Counter Sale.

Treatment Plans

Treatment plans added to the Summary section of the Record (SOAP) are also synced into the Plan and Billing Sections.

📌The same FIFO (first in, first out) logic is applied to products from the synced treatment plan.
