Benefit usage tracking

Understand how staff can see plan benefits' usage at key touchpoints.

Digitail Wellness Plans provide you with full visibility into how plan benefits are being utilized. This article walks you through the two main places where benefit usage is displayed:

The Healthcard

When viewing a patient’s profile, click the “Wellness Plans” label, then click the“Plans Overview” button. This will open a modal displaying all active and past wellness plan subscriptions for all patients.

By default, all plans, irrespective of pet or status are shown.

The user can select a specific pet using the Patient field and filter the plans by status.

By clicking on the arrow located on the right side of the plan name label, a user can expand the plan card and can check the plan detailed information.

When defined, the usage counters for each benefit are visible (e.g., “0 out of 1 usages left” or “24 out of 24 tablets left”). Red means benefits have been fully used, while green means there are still usages left for that benefit.


When Adding Benefits on a SOAP

When a staff member adds a benefit (service or product) covered by a wellness plan into a SOAP, the system displays a live usage counter directly in the SOAP plan section.

  • Real-time Feedback:

    • A badge appears next to the benefit, indicating how many uses are left.

    • If you increase the quantity (e.g., 2 vaccines instead of 1), the badge updates in real time.

  • For Products:

    • If the product’s unit of measure is switched from subunits to full units, the counter adjusts to reflect the unit-subunit relationship.

      • Example: Prescribing “1 box” of tablets might deduct 6 tablets if each box contains 6.

This ensures accurate tracking and prevents unintentional overuse of benefits.

❗What Happens When Limits Are Exceeded?

Once a benefit's usage limit has been exceeded:

  • The discount is no longer applied to the item(s) added over the limit

  • The item will be charged at its regular price, unless another discount (e.g. promo or manual discount) applies.

  • The overall discount is automatically adjusted to reflect the items that have been added over the limit


Viewing Benefit Usage and Limits on the Invoice

Digitail now includes a dedicated section in the invoice that clearly outlines how wellness plan benefits were applied — and why some items may not have been discounted.

Breakdown of What’s Shown

  1. Line-item discount details

    • Each eligible item shows the discount applied.

    • If a benefit's limit was exceeded (e.g., only 1 out of 2 units was covered), the invoice will include an explanatory note:

      “1 unit of this item is covered by your plan. Additional units are charged at regular price.”

  2. Savings summary

    • The bottom section of the invoice displays a Benefits Tracker, summarizing:

      • Which plan covered the item

      • Quantity ordered vs. quantity used vs. remaining

      • The total savings for each benefit

  3. Total discount & total saved

    • A running total shows how much was saved through the wellness plan benefits

    This helps demonstrate the value of the plan to the pet parent.
