Schedule Templates in Team Scheduling

Combining team scheduling with the schedule templates' rules

We are excited to announce enhancements to Team Scheduling, now seamlessly integrating scheduling rules directly into your scheduling workflow. This improvement provides you with greater flexibility, control, and efficiency when managing your team's schedule.

What's New?

1. Scheduling Rules Integration:

Currently, rules that constrain a user's schedule, such as 'Unbookable' and 'Available', are managed separately in Schedule Templates & Blocks (thoroughly described in this help article). With this update, these rules are now directly available within Team Scheduling shifts.

  • Unbookable: Define specific time intervals during a shift when certain appointment types cannot be booked by pet parents, but are still bookable by your clinic staff.

  • Available: Specify intervals within a shift when certain appointment types are bookable by both pet parents and clinic staff.

  • Unavailable: The unavailable rule has been replaced by the breaks functionality within shifts.

You can add these rules easily when creating or editing shifts:

  • Click on "New Rule" within the shift creation or editing interface.

  • Select either "Unbookable" or "Available".

  • Specify the relevant visit types, intervals, and colors.

Migration from Old Schedule Templates

Please note that migration from the current Schedule Templates and Blocks functionality is not possible. Rules must be reconfigured within the new Team Scheduling.

  • Configure the new scheduling rules in Team Scheduling first.

Once complete and verified, delete the old schedule templates or constrain their availability.

❗❗ In case of overlap, the old templates and blocks will take precedence.

2. Save Shifts as Templates:

You can now save frequently used shifts as templates, making shift scheduling faster and more efficient.

How to Use Schedule Templates

Creating and Saving a Shift Template:

  • After configuring a shift, name your template clearly for future identification.

  • Click "Save as a new template".

  • Templates are reusable—apply them quickly when creating new shifts.

Using a Saved Shift Template:

  1. When adding a new shift, select from your saved templates.

  2. Adjust the template settings as necessary.

  3. Click "Save as draft" or Publish Now" to finalize.

Manage your templates

Dedicated Template Management Space:

We've also added a dedicated space for template management, located on the right side of the Team Scheduling page. From here, users can easily:

  • Edit: Update an existing template.

  • Duplicate: Quickly create a copy of a template for minor adjustments.

  • Delete: Remove templates that are no longer needed.
