Calendar Search & Next Available Slot (NAS)

Type, find, book: pet/staff/visit search with instant Next Available Slot.

Meet the faster way to find and book. Use the right-side Search to pull up appointments or tasks by pet, staff, or visit type, from any view.

Hit Next Available Slot (NAS) to drop the earliest fitting time straight into Add, Edit, or Reschedule.

Calendar Search

The Calendar Search drawer opens from the magnifying glass button on the toolbar located on the right side of the calendar. It has two tabs: Appointments and Tasks.


Appointments tab

The Appointments tab helps you search, filter, and review upcoming or past visits efficiently.

Use the filters at the top to narrow your search results:

  • Clinic: Choose a location to search within. (Available for multi-clinic accounts only.)

  • Search by patient: Type a client, pet name, email, phone number, microchip, or patient ID. Select one or more results; they will appear as “chips.”

  • Search by staff: Limit results to appointments with specific staff members. (Multi-select supported)

  • Search by visit type: Filter appointments by one or more visit types.

Results list

  • Toggle Upcoming / Past to change sort.

  • Each result shows visit name, date/time, patient, staff, and status.

  • Click a result to open the appointment or jump to that day.


Tasks tab

The Tasks tab helps you manage, search, and filter tasks efficiently.


Filters

Use filters to narrow down your task list:

  • Pet (Patient): Type to match a patient or client name. (Multi-select supported)

  • Staff: Display tasks assigned to specific staff members.

  • Task Name or Notes: Search by keywords found in the task title or notes.

Results List

  • Toggle between Due and Overdue tasks.

  • Click a task to view or edit its details.

Tips

  • Filters are additive, apply multiple filters to refine results, or clear a filter chip or field to broaden your search.

  • The drawer remembers your last active tab as you navigate through the calendar, making it easy to return where you left off.


Next Available Slot (NAS)

NAS automatically finds the earliest open times based on the selected Visit Type’s duration and eligible staff availability. This helps you book appointments faster and more accurately without manually checking schedules.

Where can you use NAS?

You can access NAS from several areas within the system:

  • Calendar, two ways:

    • Dedicated NAS icon (magnifying glass) in the right-side panel starts NAS directly.

    • Inside Add/Edit/Reschedule: open the appointment modal; after you select a Visit Type, the NAS icon above the From field becomes available.

  • Timeline, open booking; after selecting a Visit Type in the appointment modal, use the NAS icon above the From field.

  • SOAP, when adding a follow‑up booking in the Plan > Follow-up section, select a Visit Type, then tap the NAS icon above the From field.

  • Add Client / Add Patient workflows, when creating an appointment, once a Visit Type is chosen, the NAS icon appears above the From field.

Heads‑up: The NAS icon only activates after a Visit Type is selected because NAS uses that duration and staff>visit type eligibility to find openings.


Required & optional fields

  • Visit Type (Required)
    Specifies the type of visit, which determines its duration and which staff members are eligible to take it.

  • Patient (Optional)
    You can enter a patient name to help prevent duplicate records or provide additional context, but it’s not required to view available times.

  • Staff (Optional)
    Select a specific staff member if you want to see their availability. Leave this field set to Any Staff to view the earliest available times across all eligible staff.


How the NAS grid works

The NAS (Next Available Slot) grid makes booking and rescheduling appointments fast and intuitive. Here's how it functions:

  • Staff Chips: Staff members appear across the top of the grid, including an "Any Staff" option. Only staff linked to the selected visit type will be displayed.

  • Days and Times: Columns represent days, and times are shown as clickable buttons.

  • Slot Counts: Each day displays the number of available slots (e.g., 40 slots). If a column reads No slots, the staff member has no availability for the selected visit type and duration on that day.

  • Selecting a Time: Click a time slot to automatically populate the date, time, and staff (if selected) into your booking or reschedule flow.

Why Staff–Visit Type Association Matters

NAS only suggests slots for staff who are authorized to perform the selected visit type. If a staff member is missing from the grid or you see no slots:

  1. Check that the staff member is linked to the visit type under Admin > Team Settings.

  2. Ensure the staff member has active working hours, is not off, and has no conflicting blocks or appointments.

Quick Steps

  1. Open NAS from any supported location.

  2. Select a Clinic (if applicable) and Visit Type (required).

  3. Optionally, add a Patient and/or Staff.

  4. Pick a time from the grid, and the slot will be inserted into your appointment modal.

  5. The appointment modal will appear immediately, prefilled with:

    • Time and date

    • Staff

    • Patient (if selected)


Quick case study: Find and reschedule with the new search & Nas

  1. Find the Appointment
    Use the search functionality to locate the appointment you want to reschedule.

  2. Open the Edit Menu
    Click the three-dot menu on the appointment and select Edit / Reschedule.

  3. Launch the Next Available Slot Picker
    In the Edit Appointment modal, locate the From field (start time).
    Click the NAS icon above the field to open the Next Available Slot picker.

  4. Select a New Slot
    The picker will display available times, with the assigned veterinarian preselected. You can choose another slot for the same staff member or select a different staff member if needed.

  5. Confirm the Appointment
    Once you select a time, the date and time are automatically filled into the modal.
    Review the other fields, then click Edit Appointment to save your changes.
