Digitail's Online Booking System is a user-friendly platform that allows pet parents to schedule appointments at their convenience, 24/7 - while ensuring you have all the control and flexibility to set availabilities and confirm or reschedule the requests.

Online appointments empower clients to book services directly from their devices, reducing the need for phone calls and freeing up valuable time for your clinic staff. With easy access to available time slots, clients can quickly select the appointment type, preferred date, and time that best suits their schedule.

Why offer Online Bookings to your clients?

  • Convenience for Clients: Clients can book appointments anytime, anywhere, without being restricted to clinic hours.

  • Reduced Phone Calls: Streamlines the booking process, significantly reducing the volume of incoming phone calls.

  • Enhanced Client Experience: Provides a seamless and efficient booking experience, increasing client satisfaction.

  • Improved Information Accuracy: Captures all necessary appointment details upfront, minimizing errors and misunderstandings.

  • Operational Efficiency: Allows clinic staff to focus on in-clinic tasks and patient care rather than managing phone appointments.

Client flow to Book an Appointment

This is the standard page that your clients will see (of course, customized with your own information and details).

Pet parents can see your public notice (you can use this section to provide more details about your practice or to instruct clients on how to prepare for specific appointments), the team (only users marked as veterinarians, technicians, or groomers and are 'available for appointments' will be displayed here), opening hours and contact details.

Step 1: Details about the appointment

Clients are required to select an Appointment Type from the ones available/defined by you. and provide more details about the reason for the visit.

Step 2: Choosing the staff, date, and hour

At this step, clients can see all the available times and select the most convenient one for them. The staff and their availability are displayed based on the selected Appointment Type and the internal configurations of the schedule and shifts.

Step 3: Login / Create account

Clients that are not logged in can do this at any step, or at the end, before submitting the appointment request.

In case they are new and don't have an account, they can create an account at the same time.

Step 4: Sending the appointment request

At this step, clients can review all the appointment details one more time and submit the request. They will be notified that this is only an appointment request, and they need to wait for the clinic's confirmation.

Checklist to ensure your Booking page is up to date

1. Set up your Clinic's Profile

Here you can set and update your clinic details, from name and logo to contact details.

2. Set up Visit/Appointment Types

Select which visit types you want to make public (using the eye icon) and make sure their duration is correct, as those will be the time slots that will be booked.

3. Set up Team's profiles

Ensure that all users that should be displayed on the Booking page have the option 'Available for appointments' enabled and that they have their title and profile picture set.

4. Set up the Clinic's and Team's Schedule

Make sure all schedules are up-to-date to ensure you don't receive bookings outside of your schedule or that you are left with empty slots.

5. Other settings

You can also choose to auto-approve all appointment requests. If you wish to enable this, please contact us.

There is also a setting to define how much time in advance clients are allowed to book appointments. The default is 1 hour, but this can be modified to fit your workflow.
