ℹ️ The Calendar and it’s appointment management features are essential to a clinic's success. With this Calendar overview, you will learn about the different views the can be displayed, filters on the view, calendar requests, boarding and tasks. With different ways to view information, the calendar is the beating heart for front-desk operations and patient schedule management.
How to access the Calendar view
To access the Calendar view, click the Workflow
> Calendar (New)
button along the top menu bar, or simply select the Calendar (New)
button if it is visible from the main menu bar along the top of your screen.
Understanding the Calendar view
Highlights of the Calendar
You can group your calendar by Month
, Week
, Day
, or List
views by choosing the corresponding button from the top right corner of your screen. The filters
and display
buttons allow you to further refine what information you see on your calendar.
Month View
The Month view provides a broad overview of the entire clinic's schedule.
This view is ideal for Receptionists and Practice Managers who need an overview of the entire month’s schedule to identify busy periods, plan for staffing needs, and manage long-term appointments. It helps to spot trends, such as peak days for appointments, and allows for better resource allocation.
Week View
The Week view shows shows a detailed breakdown for one week.
Veterinarians and Vet Technicians benefit from the Week view to help manage their weekly workload efficiently. This view allows them to see their upcoming appointments, prepare for specific cases, and ensure they have the necessary resources and time allocated for each patient.
Day View
The Day view focuses on a single day's appointments and tasks, with each staff member having a unique column. From the Filters
sidebar, you can define which clinic, and staff schedule(s) you wish to view.
The Day view provides a detailed breakdown of each day’s schedule, which is essential for all staff but particularly useful for Veterinarians and Veterinary Technicians. It helps them manage their time effectively, prepare for appointments, and avoid overbooking.
🦉 To view your Week or Day schedules by Staff (instead of by date), click on Display
> Group by Staff
. Grouping by staff will also allow you to quickly see an individual staff members remaining availability by colour.
List View
The List view displays the week's appointments and tasks in an agenda format.
This view is beneficial for Receptionists and Administrative Staff who need a straightforward agenda format to track appointments or tasks. This display allows them to quickly see the day’s appointments, manage follow-up tasks, and ensure that all appointments are confirmed and prepared for.
Navigation Options
Easily navigate in any of the month, week, or day views by using the navigation arrows
in the top left corner, or simple click the Today
button to quickly navigate to the today view, or selecting a specific day or range via the date picker.
Calendar Customizations
Display Options
Clicking on the Display
button with enable you to hide/show Appointments or Tasks by status.
You can also customize the zoom on your Calendar, buy selecting from the Calendar Size options in the Display
menu. For example, if you have shorter appointment slots (of 10-15 minutes) using the Zoomed In
option will show more information about the visit. On the other hand, if you have appointments of 1-2 hours, selecting the Zoomed Out
option will ensure you have scroll less!
Filter Options
Next to the Display button in the top right corner is the icon for the Filter
button. Filter gives you the ability to:
Display only available hours
: hide the non-working hours in your Calendar. Note, if you do have an appointment or a task before or after working hours, that will also be displayed, to ensure you are not missing anything!Clinics: show schedules for specific clinic locations
Staff: show all staff by checking the
Select all
box; or show only the available staff by checking theDisplay available staff members
box
Finally, click on the 6 dots to the right of each staff members name to reorder staff in your preferred order. The staff at the top will appear in the left-most columns of your calendar.
Appointment Preview Cards
From within your Calendar view, you can quickly preview your appointments. Each appointment preview card includes essential details about the patient, client, and the appointment itself.
To open a preview card, simply click on the appointment. The preview card enables you to open records, edit or reschedule appointments, leave comments, or access the patient's profile. You can also see an entire history of appointment changes by clicking on the See more
button from the bottom of the card.
Finally, you can start a new conversation via chat, send an email, call the client, or view the route for home visits by clicking on the text icon next to the client name.
Appointment Statuses
Appointments show one of five different statuses, which are displayed as labels or icons on the appointment cards. These statuses help you quickly understand the current state of each appointment.
