A visual dashboard to manage patient check-ins, appointments, and more.

Learn more about the Flowboard and how it can help streamline the flow of your appointments and keep the entire team in sync.

Accessing the Flowboard

If you click on the Flowboard tab in the top navigation of your Digitail Account, the Flowboard will open for you. If you click on the text in the left corner of the Flowboard called "Filters" , you will have the ability to use a variety of filters to adjust the view of the Flowboard. You have the ability to filter by Date, Visit/Appointment Type, and Staff member. After selecting the appropriate filters, please click "Apply.

Sorting the Flowboard

There are six columns within the Flowboard view that show the stage of each patient record for the selected filters:

  1. Scheduled

  2. Checked-In

  3. In Progress

  4. Hospitalized

  5. Pending Checkout

  6. Closed

All columns can be sorted by appointment date/time or Waiting Times. Additionally the Scheduled column can be filtered by appointment status, and the Closed column can be filtered by sale/invoice status

Scheduled Column

Displays all scheduled appointments for the day. Each card includes:

  • Appointment status (Confirmed, Pending, Request, No-show, Canceled)

  • When is the appointment

  • Appointment details (Service, Date/Hour, Room or Kennel)

  • Internal comments and notes

  • Actions (Check-in, Open record, Edit/Reschedule, Mark as 'No show', Cancel)

  • Patient / Client information and Staff member

πŸ“Œ Next to the client name, you can see a chat button (this will open the conversation with the client) and a call button.

πŸ“Œ By clicking on the patient name, you can see the pet/client card that displays a quick overview with the most important information.

Patient Cage Cards can be printed in bulk from the Scheduled or Checked-in columns by clicking on the print icon next to the filters/sort icons,

You can also sort the Scheduled cards by appointment date/time or filter by appointment status.


Checked-in Column

This column displays all the appointments that have been marked as 'Checked-in'. The same information is displayed on the cards.

The badge on the top right of the card shows the time that has been spent in this stage.

You can also sort the Checked-in cards by waiting time or by appointment date/time.

In Progress Column

All the appointments that have an open record or the records that haven't been opened without an appointment will be displayed in this column.

These cards also display the record number, and by clicking on it, you can open a view of the Record in the sidebar, so you can fill in or view information without leaving the screen. The timer on the right corner displays the time that has passed since the record was opened.

The actions available are:

  • Mark as 'Hospitalized' - this will move the card to the next column and change the record's status.

  • Ready for checkout - this will move the card to the 'Pending checkout' column and will mark the sale/invoice accordingly.

You can also sort the In Progress cards by waiting time or by record date/time.

Quick SOAP

Initiate your Quick Soap directly from the flowboard. Be faster by starting the recording from the flowboard card. Allow Tails to generate your SOAP notes and only sync the generated notes with your record.

This feature is only available if you have Tails AI Dictation feature enabled.


Hospitalized Column

This column displays all the records marked as 'Hospitalized'.

You can also sort the Hospitalized cards by record date/time.

πŸ“Œ You can easily undo a record that was marked as Hospitalized by mistake by clicking on the purple button.


Pending Checkout Column

This column displays all the records with a sale/invoice marked as 'Ready for checkout'. The timer on the right corner shows the time that has passed since they were moved to this column.

The actions available are:

  • Add payment - this will open the payment screen from where you can collect the pending amount.

  • Close sale - this will mark the sale/invoice as 'Closed' and move the card to the next column.

  • Generate invoice - this will open an invoice preview from where you can download or print, or send it via email.

You can also sort the Pending Checkout cards by waiting time.

Closed Column

The last column displays all the records with the sale/invoice marked as 'Closed'. The payment status can be Pending, Partially paid, or Paid, and it will be displayed in the top right corner of the card.

From these cards, you can view the invoice, generate the invoice, or add payment if it hasn't been fully paid yet.

You can also sort the Closed cards by last update or filter by sale/invoice status.
