Overview of the Flowboard Report

Learn how to monitor the patient journey to identify possible bottlenecks and improve efficiency

ℹ️The Flowboard report is an essential tool in operational management and improving the pet-owner and pets experience at the clinic.

The report will provide you with accurate time spent in each stage of the patient journey, along with the patient and visit information.
A summary of average waiting times, late check-ins and hospitalized time are provided for a quick overview.

The report can also be export to csv for customized analysis.


How to access the Flowboard Report

  1. How to Access the Flowboard report

    In order to access the Flowboard report you will require these permissions:

    • View Clients/Patients (Manage Clients/Patients)

    • View Appointments (Manage Schedule)

  2. How to View the Flowboard Report

    Navigate to the Flowboard Report by clicking the Reports menu > Operational reports > Flowboard


Overview of the Flowboard report functions

Summary Panel

A summary panel is available at the top of the report which provides

  • Average waiting time: the sum of all the waiting times divided by the total number of visits

  • Average hospitalized time: the sum of all the hospitalization times divided by the total number of hospitalized visits

  • Average late check-ins: the sum of all the check-in times divided by the total number of late check-ins

  • Total late check-ins: total numbers of visits that were checked in late

  • Average waiting time by Visit type: the sum of all the waiting times divided by the total number of visits for each visit type

  • Average visit time by Visit type: the sum of all the total visit times divided by the total number of visits for each type

❗The summary panel has an independent date range filter.

Remember to select the date range, then click Refresh data to update the values in this area.

Filters

Flowboard report filters

The available filters include:

  • Date range: filters on the scheduled start time of the appointment time

  • Visit type: appointment visit type

  • Responsible: the doctor marked as responsible on the record

  • Patient type: in-patient (hospitalized patient) or out-patient (day visit)

  • Status: the patient's current status on the Flowboard for the visit

The information on the table includes:

  • Patient information: patient name, species, breed and age

  • Visit type: as recorded on the appointment and record

  • Scheduled start time and status: the appointment scheduled start time with the

    • Flowboard status and

    • appointment status for visits that have not commenced

  • Responsible: the doctor marked as responsible on the record

  • Early/Late check-in: the number of minutes by which the visit was check in either

    • early in green

    • late in red

  • Waiting time: the time the patient remained in the Checked-in state

  • Exam time: the time the patient remained in the In Progress state

  • Hospital time: the time the patient remained in the Hospitalized state

  • Check-out wait time: the time the patient remained in the In Pending checkout state

  • Total visit time: the total time from Check-in to Closed on the Flowboard
