You prepare the visit in Digitail as usual, and the patient, visit, and invoice data flows automatically into the Trupanion Vet Portal — where claims and pre-approvals are actually filed. You have admin permissions in Digitail
How to Connect Trupanion to Digitail
This integration is set up by the Trupanion team. To get started:
Contact Trupanion and let them know your clinic uses Digitail
Their team will enable the integration and connect it to your Digitail account
Once active, Trupanion-insured patients will be flagged directly in Digitail
How the Integration Works
The workflow spans two systems, but you only enter data once:
In Digitail — you prepare the visit: build the invoice (for claims) or a treatment plan estimate (for pre-approvals).
In the Trupanion Vet Portal — you file the claim or pre-approval. Trupanion pulls the pet, visit, and pricing data straight from Digitail, so there's nothing to re-type.
Claims Submission
A claim is filed from a finalized invoice. You complete the visit and invoice in Digitail, then submit the claim from the Trupanion Vet Portal — line items, quantities, and prices are pulled in automatically.
How it works
In Digitail
Check the patient out and add all services and products to the invoice (for example, an emergency exam, a hospital stay, and an X-ray). Totals update automatically.
Finalize the SOAP record and generate the invoice, just as you would for any visit.
In the Trupanion Vet Portal
Select Start New Claim (or open the pet's policy page and choose Start New Claim) and search for the pet by name — Trupanion pulls the match from Digitail.
Complete Reason for Visit: Due to accident?, Filed a claim for this condition before?, Diagnosis or Signs, First appeared date (if known), and any Additional notes.
Under Verify Invoice, confirm the line items, quantities, and prices pulled in from Digitail.
Enter the Submitter's name and select Submit claim.
Track the claim status any time from the pet's policy page in the Vet Portal.
Pre-Approval Requests
For expensive or complex treatments, you can request a pre-approval from Trupanion before proceeding. This gives pet owners clarity on what their policy covers, helping with informed decisions and improving case acceptance rates. A pre-approval is based on a treatment plan estimate rather than a finalized invoice, and a coverage decision typically comes back within a few minutes.
How it works
In Digitail
Build a treatment plan for the visit, entering a low and high price estimate for each service. Digitail keeps a running estimate range for the whole visit.
Sync the treatment plan to Trupanion. If some items are still pending, choose Approve all pending items & Sync or Sync only approved items.
In the Trupanion Vet Portal
Select Get Pre-Approval (or open the pet's policy page and choose Get Pre-Approval) and search for the pet.
Complete the same short form as a claim: Reason for Visit, accident status, and Diagnosis or Signs.
Under Verify Estimate, choose the estimate version and Attending veterinarian, then confirm the line items pulled from Digitail.
Enter the Submitter's name and submit the pre-approval.
Check the coverage decision right away, so you and the pet parent know what's covered before treatment starts.
Things to Keep in Mind
Only patients with an active Trupanion policy are eligible for claims submission and pre-approval through this integration
Make sure the patient's policy ID is saved to their profile in Digitail — this is what lets the Vet Portal match the pet to its Digitail record when you search by name
Claims are filed from a finalized invoice, while pre-approvals are filed from a synced treatment plan estimate — make sure the right one is ready in Digitail before you start
