Trupanion Exam Day Offer (EDO) - in Beta

Help your clients get same-day Trupanion coverage for their uninsured pets, right from within Digitail.

Every exam is an opportunity to help a pet get protected. With the Trupanion Exam Day Offer (EDO) integration, your team can send uninsured pet owners a same-day insurance offer directly from Digitail — without switching tools, re-entering data, or disrupting your workflow.


Before You Start

Make sure:

  • Your clinic has the Trupanion integration active in Digitail (this is the main integration, developed by Trupanion — contact Trupanion if you haven't set this up yet)

  • You have admin permissions in Digitail


Enable Trupanion EDO Reminders

  1. Under the Insurance section, find Trupanion EDO Reminders and click Connect

  2. Configure the two trigger settings:

    • Visit Types — select which appointment categories should trigger the offer button (e.g. Wellness Exam, Vaccination, Surgery). This applies across all placements: Flowboard, Calendar, SOAP, and Patient Profile.

    • Flowboard Stages — select which Flowboard columns should show the button (Scheduled, Checked-In, In Progress, Hospitalized, Pending Checkout, Closed). This filter applies to the Flowboard only.

  3. Click Save

💡 On the Flowboard, both filters apply — a visit must match the selected visit type and flowboard stage. On the Calendar and SOAP, only the visit type filter applies.


Who Can Receive an Exam Day Offer?

The Send Trupanion EDO button will only appear for eligible clients and patients. It will be hidden if any of the following criteria are not met:

Client requirements:

  • Valid email address saved to the client record

  • Address is in the United States, Canada, or Australia

Patient requirements:

  • Species is canine or feline

  • Breed is matched to a Trupanion breed in Digitail

  • Age is between 0 and 36 months

  • Patient does not already have a Trupanion policy ID in their profile


How to Send an Exam Day Offer

The Send Trupanion EDO button appears in four places in Digitail:

  • Flowboard — visible when the visit matches both the configured visit type and flowboard stage

  • Calendar — visible when the visit matches the configured visit type

  • SOAP — visible when the visit matches the configured visit type, at any point during the visit

  • Patient Profile (Health Card) — available as long as the patient is eligible, regardless of visit status

Once you click the button, a form will appear with:

  • Patient info (pre-filled, editable): species with Trupanion mapping, breed with Trupanion mapping, gender, age

  • Client info (read-only): name, phone, address, email

  • Required: Consent to share pet and owner data with Trupanion

  • Optional: Consent for Trupanion to contact the client by SMS

Trupanion will send the offer to the email address on file. If the SMS checkbox is selected, Trupanion may also contact the client by text.

💡 Any edits made to patient info in this form are saved back to the patient's record in Digitail.


EDO Statuses

After sending an offer, the button displays a status badge. Here's what each one means:

Pending Reconfirmation explained

One month after a policy becomes Active, Digitail automatically moves it to Pending Reconfirmation. This prompts your team to verify whether the policy is still in force.

When a staff member clicks the button in this state, a popover appears (not the original send form) with two options:

  • Confirm active — the policy stays marked as Active

  • Decline — the policy is marked as Canceled


Adding or Updating a Policy ID

If a client already has a Trupanion policy, you can record it in Digitail in two ways:

  • When registering a new pet — the Insurance Provider and Policy ID fields are available directly in the new pet form

  • From the patient's profile — go to the patient's profile, and open the edit client form.

    Then, navigate to Step 2: Patient Information and update the Insurance Provider and Policy ID fields at any time.


Things to Keep in Mind

  1. The Exam Day Offer can only be sent once per eligible patient.

  2. If a breed isn't matching automatically, your team can select the Trupanion breed manually from the send form.

  3. The EDO Reminders feature is built and maintained by Digitail. The main Trupanion claims integration is developed and maintained by Trupanion.
