Send a Direct Message to a Client

Send direct messages such as emails & texts from Digitail.

The Communication tab from the Timeline displays all sent emails and texts and all manually logged phone calls or other interactions. Read more about how to log a new client communication (such as a phone call or other interactions) in this article.

Additionally, any email communication is automatically saved to the patient's medical record in the "Client Communication" section, forming an integral part of the patient's medical history. This automated feature ensures efficient tracking and accessibility of all client correspondence.

Overview

To send a direct email or text message to the client, click the arrow dropdown next to the chat bubble icon located above the patient timeline, then select your preferred communication method.

Dictate your Messages

You can use the Dictate function for all communication types, using the Tails add-on. Find out more about Tails here.

Client Communications Templates

Use custom prompts to automate the client interactions even more. This feature allows you to:

  • Streamline Workflow: Save time by quickly selecting from your custom templates during client interactions.

  • Manage with Ease: Access the template manager to add, edit, or remove templates as needed, keeping your communication tools organized and up-to-date.

Link Communications to Medical Records

Now, you can link your direct messages—emails, texts, and more—directly to a pet’s medical record! This helps keep everything in one place, so you can quickly review past conversations when handling a case. When downloading or sharing a medical summary, you can also include these message logs for a complete record of communication.

Note: The video below shows an earlier version of the Digitail interface. In the current interface, the Send Email, Send Text Message, Log Phone Call, and Log Other Interaction options are available from the dropdown menu next to the chat bubble icon.

Associate Communications with Multiple Pets

For all Communication types, you can associate them with multiple pets of the same owner. By default, the pet selected here is the patient associated with the Health Card from where the action was started, but you can add multiple pets or remove the current one. The communication Update will be visible on the respective pets' Timelines.

Send a Direct Email

For email types, type the subject, type (or dictate) your message, and add attachments, if needed.

Emails are also automatically saved to the patient's medical record within the "Client Communication" section, providing easy reference and maintaining comprehensive medical documentation.

Your emails can include rich text formatting, such as bold, italic, links, checkboxes, lists, tables and more. This makes your communication clearer and easier to read — for both your clinic staff and pet parents — ensuring important details stand out and nothing gets missed.

You can send the email to the client directly, or to other contact persons, or even referrals. Select from the list or start typing a new email address to send the message to someone new.

🚨 Please note that all messages sent through the platform are subject to this Messaging Policy, (i.e. messages relating to CBD are not allowed) (Forbidden Message Categories in the US and Canada (Short Code, Toll-Free, and Long Code).


Email Replies from Pet Parents

When you send a direct email from Client Communications, Pet Parents can now reply straight to it - and their reply comes back into the same conversation in Digitail. No more watching a separate clinic inbox or copying replies into the Health Card by hand.

🆕 Replies are captured only for emails you send manually from Client Communications. System emails (appointment reminders, confirmations, vaccination notices, brochures, and similar) stay no-reply and are not replyable.

How replies appear

  • A Pet Parent’s reply is added under the original message in the same thread, attributed to the Pet Parent.

  • All replies sit together beneath the original message - one thread, no nested layers.

  • When a new reply arrives, that conversation moves to the top of the Client Communications list, so it is easy to spot.

  • The team member who sent the original email is notified of the reply, based on their notification preferences.

Reply from within Digitail

You can respond without leaving the platform. Open the conversation in Client Communications, type your response in the reply box, and click Send. Your reply is emailed to the Pet Parent and logged in the same thread, so any further replies keep threading in one place.

Reply count on medical records

When a communication is linked to a medical record, the record shows the original message plus a reply count (for example, "Saluyt + 4 replies"). Click through to the Client Communications thread to read the full conversation.

☝️ Good to know

  • Replies to mass or bulk emails are not captured.

  • Only the text of a reply is saved - files a Pet Parent attaches to their reply are not captured.

  • Any team member who can send client communications can view and reply to a thread.

Frequently asked questions

Which emails can a Pet Parent reply to? Only emails you send manually from Client Communications. A brand-new email a Pet Parent sends you - one that is not a reply to an email you sent from Digitail - will not appear in Client Communications, even if they are an existing client.

Does it work with every email provider? Yes. It works no matter what email service your clinic or the Pet Parent uses (Gmail, Outlook, Apple Mail, and so on), and there is nothing to set up on your side.

Do replies still reach our clinic inbox? Yes. A reply lands in both places at once - your clinic’s normal email inbox, exactly as before, and Client Communications in Digitail. Digitail is added as a second destination; it does not replace your inbox.

Send a Direct Text/SMS

For text messages, you can type your message and click 'Send'.

You can send texts to a contact person instead or to any phone number, in the same way it works for emails.

Text markup/formatting (bold, italic, headers, tables, etc.) are not supported for texts. You can still paste links (such as payment links) to the message though.
