Managing your rooms or kennels efficiently is key to ensuring a smooth workflow in your veterinary practice. Whether you're organizing your consultation rooms, operating theaters, or boarding kennels, Digitail allows you to easily configure and manage them within your system.

This guide will walk you through the process of setting up rooms or kennels, so you can keep track of where your patients are and streamline your practice’s operations.

Why Configure Rooms or Kennels?

Configuring rooms or kennels in Digitail allows you to:

  • Efficiently manage space: Ensure that rooms or kennels are available when needed, avoiding scheduling conflicts.

  • Track patient location: Keep a clear overview of where each patient is throughout their visit, from consultation rooms to recovery or boarding.

  • Streamline scheduling: Assign appointments, surgeries, and boarding to specific rooms or kennels, improving overall efficiency.

By configuring these spaces within Digitail, you ensure a well-organized and structured system that reduces manual errors and keeps your team informed.

Steps to Configure Rooms or Kennels

The Rooms / Kennels function allows you to create your unique locations. Start by clicking on your Profile Image in the top right corner of your screen, and selecting Administration. Next, scroll to the bottom of your left-hand menu and select Rooms/Kennels.

To create a new room or kennel, click on the +Add Room or +Add Kennel buttons. This will open a form where you can specify the details of the space.


Enter a name for the room or kennel, such as “Consultation Room 1,” “Surgery Room,” or “Kennel A1.” Be specific to help staff easily identify the space.

Manage Rooms or Kennels

If you need to update room or kennel details (such as changing the name), simply go back to the Rooms/Kennels section in the settings, select the room or kennel, and make the necessary edits.

To remove a room or kennel that is no longer in use, click on the delete icon next to its name. Note that deleting a room or kennel will remove it from all future scheduling options.


How to Assign Rooms or Kennels

Once your rooms or kennels are configured, you can start using them for scheduling and patient tracking.

Assign a Room/Kennel to an Appointment:

When creating an appointment in Digitail, you’ll have the option to select a room or kennel. This ensures that the space is reserved for that specific patient, avoiding double bookings.

📌 All appointment requests and appointments added by you that don't have a room or kennel associated will be visible on the "No room/kennel" row.

📌 Appointments can easily be dragged and dropped from one room or kennel to another.


Boarding View

From the top bar, you can group appointments and tasks by:

  • Staff members (by clicking on the Schedule option) - this is the default display, grouping appointments and tasks by staff

  • Rooms/kennels (by clicking on the Boarding option) - this option will switch to a specialized Room/Kennel grouping

  • Tasks (by clicking on the Tasks option) - this option will filter out all appointments and switch to a List view format
