What is the Whiteboard?

The Whiteboard lets you track tasks and care for every active patient record in one real-time view. It automatically lists all records that are In Progress or marked as Hospitalized on your Flowboard, giving your entire team a shared, always-up-to-date picture of who needs attention and what's next.

Where to Find It

Navigate to Main Menu → Flowboard → Whiteboard.

⚠️ Don't see the Whiteboard? The Whiteboard must be enabled for your clinic by the Digitail Support team. It is not available by default and cannot be turned on from within your clinic settings. If the Whiteboard option is not visible in your Flowboard, contact support via the chat widget — a support agent will activate it for you.

💡 Note: If you've heard about the new Flowboard update (currently in early access), that is a separate feature with its own request process that also includes an updated Whiteboard view. To request early access, contact our support team via the chat widget, or follow these steps on the releases page:

Beta features aren't automatically enabled — your clinic will be added to the beta list and may be contacted with more details after your request.


How to Create and Manage Tasks

  1. On the Whiteboard, locate the patient you want to add a task for.

  2. Click on the due date field in the patient's row.

  3. Enter the task name, due date, and optionally assign it to a team member.

  4. Click Save to create the task.

The task will appear on the Whiteboard and in other task views including the Dashboard, Calendar, Health Card, and the patient record itself.

💡 Tasks not assigned to anyone are visible to your entire team — anyone available can step in and take ownership.

Tasks are color-coded for quick status recognition:

  • 🟢 Green — Completed

  • Grey — Upcoming

  • 🔴 Red — Overdue (changes automatically when a deadline passes)


Other Things You Can Do

Filter and sort the Whiteboard

Click Display in the top-right corner to open the filter and sort panel. You can filter by:

  • Patients — show All patients or Hospitalized only

  • Visit Type — filter to a specific Visit Type (e.g. boarding Visit Types, to focus on boarding patients only)

  • Tasks by Status — show tasks that are Not started, In progress, Waiting, or Done

  • Tasks by Time — show Due or Overdue tasks only

You can also Sort the board by Date, Patient, Doctor, or show Hospitalized First.

💡 Boarding staff can combine the Visit Type filter with a staff/user filter to see only their boarding patients.

Review a patient's Health Card

Click on any patient's name to open a summary of their Health Card, including tags, allergies, latest medications, and Pet Parent information.

Open the visit's SOAP note

From the patient summary panel, click the Record icon to open the SOAP note associated with the current visit.

Automate tasks with Task Templates

If your clinic uses Task Templates, tasks can be created automatically based on services or products added to a SOAP — removing the need to create routine tasks manually for each patient.


Tips & Best Practices

  • Start each shift by filtering for Overdue tasks — these need immediate attention.

  • Use the Display filter to tailor the board to your role — clinical staff can filter to Hospitalized patients, boarding staff can filter by boarding Visit Type, and anyone can sort by Hospitalized First to prioritize the most critical patients.

  • Leave tasks unassigned during busy periods so any available team member can claim them without a vet reassigning.

  • Use the Record icon to jump directly into the SOAP from the Whiteboard — no need to navigate through the patient file separately.

  • Set up Task Templates for common hospitalization or boarding protocols to save time on task creation.

  • During shift handoffs, use the Whiteboard as a live walkthrough — it shows real-time status for every active patient.


Common Questions

I can't see the Whiteboard at all — what should I do?

The Whiteboard is not enabled by default for all clinics. If you navigate to Main Menu → Flowboard and the Whiteboard option is not visible, it means the feature has not been activated for your clinic yet.

This is not a permissions issue. Checking or updating your user role settings will not resolve this. Contact the Digitail Support team via the chat widget and a support agent will enable it for you.

Why isn't a patient showing on the Whiteboard?

The Whiteboard displays patients whose records are either In Progress or marked as Hospitalized on the Flowboard. If a patient isn't showing, check that their visit has been moved to one of those statuses.

Can I see Whiteboard tasks in other views?

Yes — tasks created on the Whiteboard also appear in the Dashboard, Calendar, Health Card, and the patient record itself. See Tasks Overview | Adding and Managing for a full breakdown of task views.

Why can't I create or complete tasks on the Whiteboard?

Task-related permissions control who can create, edit, and complete tasks. If you're unable to interact with tasks on the Whiteboard, ask your practice manager to review your role permissions. See Tasks Overview | Adding and Managing for more detail.
