Calendar Search & Next Available Slot (NAS) - available in beta

Type, find, book: pet/staff/visit search with instant Next Available Slot.

Meet the faster way to find and book. Use the right-side Search to pull up appointments or tasks by pet, staff, or visit type—from any view.

Hit Next Available Slot (NAS) to drop the earliest fitting time straight into Add, Edit, or Reschedule.

Calendar Search

The Calendar Search drawer opens from the magnifying glass button on the toolbar located on the right side of the calendar. It has two tabs: Appointments and Tasks.

Appointments tab

Filters

  1. Clinic – choose the location to search in (multi-clinic accounts only).

  2. Search by patient – type a client, pet, email, phone, microchip, or patient ID. Select one or more results (they appear as chips).

  3. Search by staff – narrow results to selected staff (multi-select).

  4. Search by visit type – filter to one or more visit types.

Results list

  • Toggle Upcoming / Past to change sort.

  • Each result shows visit name, date/time, patient, staff, and status.

  • Click a result to open the appointment or jump to that day.

Tasks tab

Filters

  • Pet (patient) – type to match patient or client.

  • Staff – show tasks assigned to specific staff.

  • Task name or notes – full‑text search in task title and notes.

Results list

  • Toggle Due/ Overdue; open a task to view or edit.

Tips

  • Filters are additive; clear a chip or field to broaden results.

  • The drawer remembers your last tab while you navigate the calendar.

Next Available Slot (NAS)

NAS finds the earliest open times based on the visit type’s duration and eligible staff availability.

Where can you use NAS

Use NAS from these places:

  • Calendar — two ways:

    • Dedicated NAS icon (magnifying glass) in the right-side panel starts NAS directly.

    • Inside Add/Edit/Reschedule: open the appointment modal; after you select a Visit Type, the NAS icon above the From field becomes available.

  • Timeline — open booking; after selecting a Visit Type in the appointment modal, use the NAS icon above the From field.

  • SOAP — when adding a follow‑up booking in the Plan>Follow-up section, select a Visit Type, then tap the NAS icon above the From field.

  • Add Client / Add Patient workflows — when creating an appointment, once a Visit Type is chosen, the NAS icon appears above the From field.

Heads‑up: The NAS icon only activates after a Visit Type is selected because NAS uses that duration and staff>visit type eligibility to find openings.

Required & optional fields

  • Visit Type — required. Determines duration and which staff are eligible.

  • Patient — optional. Helpful for deduping or context, not required to see times.

  • Staff — optional. Pick specific staff or leave Any Staff to see the earliest across all eligible staff.

How the NAS grid works

  • Staff chips across the top (including Any Staff). Only staff associated to the selected visit type appear.

  • Days are shown in columns; times are listed as buttons.

  • Each day shows a slot count (e.g., 40 slots). If a column shows No slots, that staff has no availability for the selected visit type and duration on that day.

  • Choose a time to auto‑fill the date/time (and staff, if chosen) back into your booking or reschedule flow.

Quick steps

  1. Open NAS from any supported place n).

  2. Select Clinic (if applicable) and Visit Type (required).

  3. Optionally add Patient and/or Staff.

  4. Pick a time from the grid → the slot is inserted into your appointment modal.

  5. The appointment modal will immediately appear with all the information prefilled: time and date, staff, and (optionally) pet.

Why staff–visit type association matters

NAS only proposes slots for staff who can perform the visit type.
If someone is missing or you see no slots:

  • Confirm the staff member is linked to that visit type in your Admin>Team settings

  • Ensure the staff have working hours, are not off, and have no conflicting blocks/appointments.

Quick case study: Find and reschedule with the new search & Nas

  1. Find the appointment using the search functionality.

  2. Select the Edit / Reschedule in the appointments three-dot menu.

  3. In the Edit Appointment modal, locate the From field (start time).

  4. Click the NAS icon above the From field to launch the Next Available Slot picker.

  5. The next available slot picker will open. The assigned vet will be preselected.

  6. Optionally, you will be able to select another slot for the same staff or pick another one.

  7. Select a time; the date/time are auto‑filled back into the modal.

  8. Review other fields, then click Edit Appointment to save.
