Time Clock (Coming Soon)

Track staff hours by having them clock-in and clock-out.

Overview

The Time Clock feature helps your team accurately track working hours inside Digitail.

It includes two components:

  • Time Clock Widget – Used by staff to clock in, start breaks, return from breaks, and clock out.

  • Timesheet Report – Used by managers and Administrators to review, filter, edit, delete, and export time entries.

Before You Start

To use Time Clock, the following must be enabled:

1️⃣ Clinic Preference

Your clinic must enable the functionality in Clinic Preferences:

Administration → Clinic Profile → Preferences tab → Enable Time Clock

2️⃣ Staff Account Activation

You must have the "Requires Clock-in" enabled on your staff account:

If you don’t see the option, ask your clinic Administrator to update your User Account.

ℹ️ Clocking in is separate from logging into Digitail.

You must use the Time Clock Widget to start your shift — logging in does not clock you in automatically.


Time Clock Widget

The Time Clock Widget allows you to record your working hours in real time.

You can access it:

  • On the User Dashboard (desktop and mobile)

  • From your profile dropdown (top-right avatar)

Widget States & Actions

The widget has three states:

The timer shows how long you’ve been clocked in or on break.

You may see confirmation prompts when clocking in or out.

Time Clock Actions

Clock In

  1. Open the Dashboard or Time Clock Widget.

  2. Click Start.

  3. Confirm if prompted.

Clock Out

  1. Open the Dashboard or Time Clock Widget.

  2. Click Stop.

  3. Confirm if prompted.


Start a Break

  1. Make sure you are Clocked In.

  2. Click Break.

End a Break

  1. While On Break, click Return.

Snooze

Several of the time clock prompts also have the option to Snooze.

The snooze options are determined by the action being prompted. The most common options are for 5 minutes, 10 minutes or 15 minutes.


Troubleshooting

I can’t see the Time Clock Widget

If the Time Clock Widget is not visible:

  • You may not be assigned as a staff member that needs to clock in

  • You may not be employed under the currently active clinic.

If neither of the above applies, contact your clinic Administrator or Digitail Support.


I can’t see the Timesheet Report

To access the report, you must have View Timesheet Report permission.

If you don’t see:
ReportsOperational ReportsTimesheet

Ask your clinic Administrator to review your User Role & Permissions.


I forgot to clock in or out

If you forgot to clock in or out:

  • A user with Edit Timesheets permission can manually adjust the entry in the Timesheet Report.

  • If you don’t have that permission, contact your clinic Administrator.


Coming Shortly: Time Clock + Shifts Integration

We’re extending the Time Clock with full Shifts integration, bringing smarter, context‑aware prompts that align with each staff member’s published schedule.

What’s coming?

Shift‑aware clock‑in/out logic

Digitail will automatically understand when a staff member is scheduled to work.
You’ll receive prompts to clock in, start a break, return from a break, or clock out based on your assigned shift times.

Automatic clock‑out for missed actions

If you forget to clock out at the end of a shift and the next shift should already have started, you will be:

  • Clocked out automatically at the correct time

  • Notified

  • Prompted whether you’d like to clock in for the next shift

Break‑time intelligence

Break prompts will become shift‑aware too.
Digitail will detect when a break should start or end and remind you accordingly, with snooze options that still respect your scheduled break window.

Shift‑end and next‑shift prompts

You’ll receive timely reminders when your shift is ending or when your next shift begins, helping ensure accurate time entries without manual corrections.
