What is FrontDesk.vet?

FrontDesk.vet is an AI-powered receptionist built for veterinary clinics. It answers inbound calls around the clock, books appointments directly into your Digitail schedule based on real-time availability, and logs every call with a full summary so your team always has a complete picture of client communications. The integration works in both directions: Digitail feeds FrontDesk.vet your client records and open slots, and FrontDesk.vet pushes booked appointments and call notes back into Digitail automatically.

How to set it up

Before you start

  • You have an active FrontDesk.vet account with admin access

  • Your Digitail account has admin or owner permissions

  • You have your Digitail login credentials (email and password) ready

Setup is completed from inside FrontDesk.vet, not from within Digitail. The steps below walk you through connecting your accounts from the FrontDesk.vet dashboard.

Steps

Inside FrontDesk.vet:

  1. Go to your FrontDesk.vet dashboard and click Integrations in the left sidebar.

  2. Make sure the PIMS tab is selected.

  3. Find the Digitail card and click Connect.

Inside Digitail:

  1. You'll be redirected to the Digitail login screen. Enter your Digitail email and password, then click Login. If you're already logged into Digitail in the same browser, this step may be skipped automatically.

Inside FrontDesk.vet:

  1. After logging in, you'll land on the Finish Digitail integration screen. Select your clinic from the Your clinic dropdown.

  2. Click Complete integration.

  1. You'll see a confirmation: "Your request has been received." The Digitail card on your Integrations page will show Integration in progress until setup is complete.

Multi-location: If your Digitail account covers multiple clinics, select the one you want to connect to this FrontDesk.vet workspace. You can repeat this process to connect additional clinics.

Most integration requests are reviewed and activated within 1 to 2 business days. No further action is needed on your end.

How to use it day-to-day

Once active, the integration runs in the background without any manual steps from your team. Here's what happens in practice:

Client calls to book an appointment

FrontDesk.vet answers, identifies the client against your Digitail records, finds the next available slot, and books the appointment. It shows up in your Digitail calendar immediately, and the client receives a confirmation. No staff involvement is needed.

New caller asks a question

For first-time callers, FrontDesk.vet answers using the information you've configured in your account and captures their contact details. The full conversation, including name, phone number, and reason for calling, is available in your FrontDesk.vet dashboard for your team to review and follow up.

After-hours calls

Instead of voicemail, FrontDesk.vet picks up and handles the request. Every after-hours call is recorded with a full summary. Your morning team sees exactly what happened overnight without listening to voicemails or piecing together notes.

Booked appointments appear in your Digitail calendar as soon as FrontDesk.vet creates them. Call summaries and logs are stored in your FrontDesk.vet dashboard.

Phone system compatibility

FrontDesk.vet works with any phone setup. No hardware changes are required.

  • VOIP: Calls are routed through your VOIP configuration, giving you flexibility for after-hours routing, overflow handling, and extensions.

  • Standard phone lines: Calls are forwarded to a FrontDesk.vet number in the background. Your team keeps using the same phones.

FrontDesk.vet recommends having at least two phone lines - one forwarded to FrontDesk.vet, one kept free for transfers back to your front desk. This avoids call loops.

What this integration does not do

FrontDesk.vet only creates new appointments and adds communication logs. It does not modify or delete existing client, patient, or medical records in Digitail. You control which appointment types, durations, and providers FrontDesk.vet has access to from your FrontDesk.vet settings.

To disconnect: Go to Integrations in your FrontDesk.vet dashboard and click Disconnect next to Digitail. Previously synced data remains in Digitail.

Common questions

Does this work with multi-location clinics?

Yes. You can connect a separate Digitail account per location, or use a single account if your Digitail setup already covers multiple locations. Repeat the setup steps for each clinic you want to connect.

Will FrontDesk.vet change anything in my existing Digitail records?

No. The integration only creates new appointments and adds communication logs. Existing client, patient, and medical records are not modified or deleted.

What happens if Digitail is temporarily unavailable?

FrontDesk.vet continues answering calls. Any data that couldn't be synced during the outage is queued and pushed to Digitail automatically once the connection is restored.

Can I control which appointment types the AI books?

Yes. In your FrontDesk.vet settings, you can configure which appointment types, durations, and providers the AI can access.

Why does my Integrations page still show "Integration in progress"?

This status is normal after setup. The FrontDesk.vet team reviews integration requests manually. Most are activated within 1 to 2 business days. If it's been longer, contact FrontDesk.vet support at support@frontdesk.vet.
