We also make it easy to add new locations in the future (and onboard them, too!) so we can help you scale your business effectively. From product and service lists to forms and SOAP templates, everything can be synced between locations to ensure standardization across all locations while also being flexible for clinic customizations.
User Roles and Permissions
Users can access multiple locations with the same login and have different roles at each site. For instance, one might be an admin at one clinic and a doctor at another.

Day to Day Use for the Team
Switching between Locations
Easily switch between different locations from the top-right menu without logging out. Each location maintains its own clinic account and settings, ensuring tailored management of schedules, services, and more.
Patient Management
View all patients at your current location by default, but use the Clinic filter to access patients from other locations.
For scenarios requiring patient association across multiple clinics, refer to the "Patient Profile Association Methods" for detailed steps to efficiently merge or associate patient records.
📌 Only the users who have permission to access patients in different locations will see the filters.
Unique patient codes help identify their associated clinic, ensuring accurate record-keeping. If a patient has been to multiple locations, you will see all their IDs on their profile for easy reference.
Patients can also use the self-association process in the Digitail mobile app or administrative staff can utilize manual methods to ensure accurate association of records across clinics (see Patient Profile Association Methods for details).
Sharing Patient Information
Patients, appointments, and records can be seamlessly shared between locations. You can view complete medical histories and schedule appointments across branches, enhancing collaborative care.
Patient Profile Association Methods
To effectively manage and associate patient profiles across multiple clinics, Digitail provides two main methods:
Method 1: Patient Self-Association Process
This method allows the patient to associate themselves with a new clinic via the Digitail mobile app:
The patient logs into their Digitail mobile application.
From the app, the patient associates themselves with the desired clinic.
After association, the patient can request an appointment at the new clinic.
The system creates a patient health record specific to the new clinic.
This user-friendly method empowers patients to take control of their associations directly.
Method 2: Administrative Workaround via Patient Health Card URL
Administrative staff can manually associate a patient's profile by following these steps:
Open the patient’s Health Card at their current clinic in Digitail.
Copy the URL of the Health Card from the address bar.
Switch to the target clinic location in the Digitail interface.
Paste the copied URL into the browser’s address bar.
Load the patient's profile in the target clinic.
Create a SOAP record or other document to establish a record at the new clinic.
This approach is helpful for manual intervention or when patients cannot complete the process themselves.
Appointment Scheduling
The calendar displays appointments from all locations based on user permissions and selected filters. When scheduling, choose the desired clinic to see relevant staff availability.
📌 Only users with permission to access appointments in different locations will see the filters and the dropdown menu.
📌 In the New Requests from the left sidebar, only the appointments for the current location are displayed.
Record Management
You can access a patient's full medical history across locations from their profile. Records can be filtered by location, and while records from the current location can be edited, those from other locations are view-only unless you switch to that location.
Click on 'Change filters' to include all the locations you want to see. These filters will stay the same for all patients, so you don't need to select them every time.

📌 The records associated with a different location can't be edited without switching the location.
