A SOAP record can have one of three statuses: Draft, In Progress, or Locked. These statuses can be seen in both the Health Card Timeline, Records, and Flowboard.
Where to View Record Statuses
Health Card Timeline View
Click into a patient's Health Card, and scroll down to the Timeline.
Click on Records and filter by Status.
Draft Records
Draft records are records that haven't been formally started yet. They are not shared in the pet parent app.
To move the record to the Draft status, click on the record status on the top right of any record, and click on 'Draft'. This will flip the record to 'Draft'.
📌 Drafts can be kept in this state for as long as needed (they won't automatically close after a set period of time).
In Progress Records
Once a record is started or opened, the record starts in an 'In Progress' status.
📌 In Progress records auto-close based on your clinic's preference.
📌 In Progress records are not shared in the app if your clinic has an automatic close timer.
Locked Records
Locking a record is necessary to ensure the safety of the entered data, while also allowing pet parents to visualize key details of their visit on our pet parent app.
Locked records are view-only. This means that the record is no longer editable. If you wish to edit a closed record, a staff member with admin permissions will need to unlock it by adjusting the record status.
With locked records, billing actions are still available for adding payment, but no further charges can be added once the medical record has been locked.
📌 Records can be locked manually or have an auto-lock timer set.
📌 If the automatic timer is enabled (from the Preferences section), the records will lock after the set amount of time from the moment the record was 'In Progress'.
