Tails can now listen to your entire visit, transcribe everything and even break it down in the SOAP format. You only need to review the content (you can make any adjustments you need) and 'Sync with Record' - all your notes are done!

AI Dictation is part of Tails, the veterinary AI assistant that makes your job easier, from summarizing medical information, helping with dosage calculations to writing personalized discharge notes and automating check-in and prescreening.

How does it work?

All records now come with a 'Quick SOAP' option that you can find on the right corner.

  • Click on it, and start recording your visit

    You can leave the recording on while talking to the pet parent or other colleagues.

  • Click on the blue check mark & wait to see the transcription

  • Click on Process transcription

Tails will automatically break down the transcription in a SOAP format (including summary and recommendations, besides subjective-objective-assessment-plan).

  • Check the result

    You can always adjust the content.

  • Click on the 'Sync with Record' button.

    The text will be synced with the relevant fields in the SOAP.

Tails enables users to record spoken content in their native language, with the transcription automatically generated in that language. There's no need to adjust any settings; the system will intuitively recognize the spoken language and transcribe it accurately.

All your SOAP notes are now done.

Initiate your Quick Soap directly from the flowboard. Be faster by starting the recording from the flowboard card. Allow Tails to generate your SOAP notes and only sync the generated notes with your record.

While using the Quick Soap, you have the ability to:

  • add multiple recordings

  • pause or cancel the recording

  • copy the whole Quick Soap or just specific fields

Before syncing with record, you can use the 👍 👎 icons to let us know if the SOAP breakdown was accurate so Tails can improve according to your specific needs and use cases.

Tails AI Dictation also works on its own as a straightforward solution for dictation and voice-to-text transcription. You can use it for general quick notes, client communication or other situations that might not be related to the SOAP.

  1. Are particular types of microphones necessary for use?

    No specific types of microphones are required. Effective dictation can be achieved using any device equipped with a built-in microphone. For optimal performance, it is advisable to minimize background noise.

  2. Is there a duration limit for dictation recordings?

    Yes, the dictation can is set to a maximum duration of 20 minutes.

  3. Is it possible to add additional recordings to the same Quick Soap ?

    Yes, after finalizing a recording and Tails is transcribing the text, you may initiate another recording by simply clicking on the microphone icon.

Keep in mind that in the US 🇺🇸, 11 states require the consent of everybody involved in a conversation or phone call before the conversation can be recorded. Those states are California, Delaware, Florida, Illinois, Maryland, Massachusetts, Montana, Nevada, New Hampshire, Pennsylvania, and Washington.
