We recently identified discrepancies in some stock quantities due to negative batch stocks that accumulated over time. These inconsistencies, if left unaddressed, could impact accurate stock management, reporting, and day-to-day operations. To address this issue and prevent it from recurring, we implemented an automated stock correction process across all accounts.
We understand this is not an ideal situation, but it was a necessary step to ensure stock values in Digitail remain reliable and aligned with your inventory. Below is an overview of what this process entailed and how it may affect your stock data.
What the auto-correction process did:
Balanced negative stock batches by reallocating quantities from other batches of the same product.
Recalculated total stock quantities displayed on the Stock Page, based on these adjustments.
Used the Digitail Product Report as the most accurate source of truth, ensuring corrections reflected actual purchase, dispensing, and adjustment data.
Where necessary we added stock adjustments to achieve this
Any stock adjustments created during this process will be visible on the Products Report
The Staff assigned to the adjustment will be Digitail Support
Examples:
if you have Batch A qty = -20, and Batch B qty = 20, after correction Batch A qty = 0 and Batch B qty = 0, provided that a Batch C existed with available stock.
If you have Batch A qty = -20 and Batch B qty = 65, after correction Batch A qty = 0 and Batch B qty = 45.
If you have Batch A qty = -20 and Batch B qty = 15, after correction Batch A qty = 0 and Batch B qty = 15, due to there being no Batch C with stock available.
Key points to note:
We prioritized minimizing disruptions by ensuring stock was available for dispensing/selling wherever possible.
In some cases, stock quantities may now be overstated due to these corrections.
Conversely, if you had manually adjusted stock before this process, quantities may be understated for certain products.
