The Flowboard Update [Early Access]

How to find and use the updated Flowboard, including saved filter presets, drag and drop, room assignment, and Display View.

What is the Flowboard?

The Flowboard shows you every patient visit happening in your clinic today, organized by stage — from scheduled through checkout — so your whole team can see who's waiting, who's with a patient, and what needs to happen next, all from one screen.

Note: This is the new Flowboard, currently rolling out clinic by clinic. Your previous Flowboard stays available and remains the default view until General Availability.

Where to find it

Main Navigation → Flowboard (marked with a New tag)

Click it to switch over any time — your current Flowboard stays available alongside it.

Permissions: This feature requires the Access Patients and View Appointments permissions on your user role. If you can't see Flowboard in your menu, ask your clinic Administrator to check your role's permissions.

How to move a visit through the Flowboard

  1. Find the visit's card in the Scheduled column.

  2. Click Check In on the card once the patient arrives. The card moves to the Checked In column and starts showing elapsed wait time.

  3. Open the Patient's Record (or click Open New SOAP to start the visit's medical record, called a SOAP) to begin the visit — the card automatically moves to In Progress.

  4. When the visit is done, click Ready for Checkout — or Hospitalize if the patient is staying — to move the card forward.

  5. From Pending Checkout, click Checkout once the front desk has closed out the visit. The card moves to Closed, where you can view or generate the invoice and take payment.

You can also drag and drop a card directly into the next column instead of using the action button, if you prefer.

Note: If your clinic has Self check-in turned on, clients can check in from a link sent before their appointment (or from the pet-parent app) — no front-desk action needed. Their card moves to Checked In automatically and shows a pulsing Arrived badge.

Other things you can do

Filter, save presets, and search

Narrow what the board shows, then save your setup as a preset you can switch back to any time.

  1. Click a filter — Date, Visit Type, Staff, Room, Client, or Patient — in the filter bar to narrow or hide what shows (e.g., hide medication pick-ups).

  2. Once it's set up the way you like, click Save Preset and give it a name (for example, "Front Desk View" or "No Meds").

  3. Use the saved presets dropdown to switch between views any time — no need to rebuild filters.

Presets are saved per user — a coworker won't see what you've saved.

Assign a room from the card

Assign or change a patient's room straight from their Flowboard card, without opening the appointment.

  1. From Checked In onward, click the room pill on the card (it shows No room assigned until you set one).

  2. Select a room from the dropdown, or pick a different one if it's already assigned.

The card updates immediately — no need to open or reschedule the appointment.

Switch to Display View

Display View turns the board into a simplified, read-only status screen for a shared or back-of-house monitor.

  1. Click Display View in the header.

  2. The board switches into a passive status display — a live clock, a live patient count, and a simplified card for each visit. Toggle back to Status View the same way.

Display View is staff-facing — it still shows details like assigned DVM and visit type, so it isn't set up as a client-facing waiting room display. Turning it on also pauses your clinic's auto-logout timer for up to 12 hours, so a shared screen can stay in Display View for a full shift without logging out.

Bulk-share documents

You can still bulk-share documents (record summaries, certificates, invoices) from the Flowboard. Bulk-share respects whatever filters you currently have set, so you're only sharing the visits you're looking at. See Bulk actions to download/email documents from Flowboard.

Tips & best practices

  • Save & use your presets for each way your team commonly views the board instead of rebuilding filters from scratch.

  • Use exclusion filters (hiding a visit type) rather than only selection filters if you mainly want to declutter the board rather than narrow it down.

  • Drag and drop is often faster than the action buttons when you're moving several cards at once.

  • Watch the comment icon — unread internal comments are now visually prominent on the card, not just a small number.

  • The board now refreshes automatically every 5 seconds, so you don't need to manually reload to see the current state.

Frequently Asked Questions (FAQs)

Why doesn't the room show a type (exam, boarding, kennel)?

Rooms are currently name-only — there isn't a way yet to categorize rooms by type. If your clinic has a mix of room types, you'll need to select carefully from the full list.

Can I assign a staff member to a visit from the Flowboard card?

Not yet — the card shows who's assigned, but assigning or reassigning staff still happens from the Patient's Record itself.

Can I put Display View in my lobby for clients to see?

Not currently — Display View still shows details like DVM name and visit type, so it's intended for staff areas only, not a client-facing waiting room screen.

Can other people on my team see my saved filter presets?

No — filter presets are saved per user, so what you save won't appear for a coworker logged into their own account. If your whole team wants the same view, each person needs to save their own preset.

Does the elapsed time change color the longer a patient waits?

No — elapsed time is shown as plain text with no color escalation. There's no clinic setting to configure that kind of threshold.
