Set up Visit/Appointment Types

Learn how to set up and manage the appointment types that you are providing in the practice.

To set up and enable the appointment types provided by your practice, select your Profile icon > Administration - Clinic Profile - Visit Types 👉

Setup your Visit Types

🆕Add New Visit Types (beta)

You can create custom visit types that reflect your clinic’s specific services. Whether you're introducing new workflows, special procedures, or seasonal campaigns — the system is now fully customizable.

You will be able to configure the following parameters:

  • Name (mandatory)

  • Category (mandatory)

  • Color

  • Duration

  • Payment deposit -

  • Staff members associated

  • Suggested services for online bookings

  • Associated forms

  • Description

  • Mark/unmark your visits as available for appointments

  • Send appointment notifications & reminders

Color -> You can customize the color that appears on the left side of each Visit Type to help you get a better overview of your day. Select the color using the color bar and then click on the color map to select the desired nuance. At last, click outside of the color modal. The color will change.

Duration -> You can set how much time a booked service should be blocked on your schedule. Change the default value in the duration field with one that suits your pratice workflow.

Payment deposit

When filled out, this field enables the clinic to collect a deposit for appointments booked under this visit type — helping reduce no-shows and ensure client commitment.

Staff members associated

Select which staff members are eligible to perform this visit type.
You can assign them here or directly from their staff profile.
For visit types available for online booking, it’s important to ensure at least one staff member is assigned — otherwise, the visit won’t be shown to pet parents.

Suggested services for online bookings

You can now link services to specific visit types. This allows you to suggest additional services during online booking, helping increase upsell opportunities by highlighting relevant options to pet parents.

Associated forms

You can now link forms to visit types to streamline client intake. This helps you collect consent in advance or share important information ahead of the appointment.

Description -> Adding a description to your visit type will let the pet parent booking an appointment via the online booking system or the pet portal what this visit/appointment type is all about. This will improve your online booking conversion rate.

You add descriptions up to 150 characters long including spaces and punctuation.

Mark/unmark your visits as available for appointments

When creating a new visit type, the “Make visit available for online appointments” checkbox is selected by default. This setting controls whether the visit type is visible for pet parents when booking through the public calendar or mobile app. (provided that it has been added on an individual staff's profile).

Send appointment notifications & reminders

By default, the “Send appointment notifications & reminders” checkbox is enabled when creating a new visit type. This setting ensures that pet parents receive relevant notifications such as confirmations, cancellations, and reschedules.

✏️ Edit or Delete Existing Visit Types

Need to update the name of a visit type or clean up unused ones? You can now edit or delete any visit type directly from the visit type page by using the edit & delete icons that are available for every visit type row.

Editing your Visit Types

Edit your visit types by clicking the edit button at the end of the visit type row between the minutes information and the delete button.

The visit type edit modal will appear.

Deleting a visit type

To remove a visit type from your clinic repository of visits you simply need to click the delete (trash) button that is th the end of each visit type row.

🧹Refreshed and Simplified Categories

To help you start with a cleaner setup, we’ve streamlined our default visit type list.

We’ve introduced a new, simplified category structure to help you organize visit types more effectively:

  • Consultations / Exams

  • Vaccinations

  • Euthanasia

  • Spay / Neuter

  • Medical Procedures

  • Imaging / Diagnostics

  • Boarding

  • Grooming

  • Admin

  • Other

Each visit type now belongs to one of these categories for easier reporting and filtering.

We’ve removed rarely used options and kept only the most common ones.

🆕 New clinics will now begin with a curated set of visit types that cover the most frequent use cases.

🧭 Automatic Migration of visit types to the new categories for Existing Clinics

All active visit types currently used by your clinic have been automatically migrated into the new category structure.
No action is needed on your part — everything will continue working smoothly, just with better organization.

🔚 Deprecation of the Old Visit Type Repository

The old Digitail-maintained visit type library is no longer available. From now on, clinics are fully in control of their visit type list.

✨ Newly onboarded clinics will start with a curated list of the most common visit types, already assigned to the new categories — a quick and clean setup experience.


💡 Tip

Visit types play an important role across scheduling, SOAPs, forms, and reporting. Keep them consistent and descriptive to ensure your team and clients always understand what’s being booked.


Searching for a visit type

You can look for a particular visit type by typing in the search field above the visit types categories.

All the categories and the visit types corresponding to the keyword you put into the search field will be visible. Deleting the keywork will reset the search.

Change the order of your Visit Types

This will impact the order the pet parent see the visit types you marked as available for online booking in the online appointments page or the pet portal.

To do that, you need to click on the "Reorder your Public Visit Types" button.

A modal with all the current visit types that are marked as available for online appointments will open.

❗To find out your most common visit types please go to the Appointments Report
https://vet.digitail.io/reports/appointments and check the Stats section>Visit type.

You can move them around by dragging them using the 6 dots icons the is available for each visit type for the arrow icons below the visit type list.

The order in the Visit Type order section will impact the most common visit types as well as the order of the "Other visit types" dropdown list.
