Set up Visit/Appointment Types

Learn how to set up and manage the appointment types that you are providing in the practice.

To set up and enable the appointment types provided by your practice, select your Profile icon > Administration - Clinic Profile - Visit Types 👉

Setup your Visit Types

In the right hand side of the screen you have the option to browse through the repository of all the visit types that are available in Digitail.

Clicking on "View all Visit types" opens up a modal where you will be able to see:

  • Visit types that are checked - these Visit Types are included in your clinic repository of visit types. It means that these visit types are available to be added yo your staff profiles' and can be marked as bookable via the online booking system or mobile app.

  • Visit types that are unchecked - these are not included your clinic repository of visits.

Adding/Removing Visit Types to/from your clinic Visit types repository

You can add visit types to your clinic repository by selected visit types and clicking on the "Add" button. The number of visit types that you have selected will be visible on the Add button.

To remove a visit type from your clinic repository of visits you simply need to click the delete (trash) button that is th the end of each visit type row.

Removing a visit type from your clinic's visit types repository will make it available for adding from the "View all visit types" view.

Editing your Visit Types

Edit your visit types by clicking the edit button at the end of the visit type row between the minutes information and the delete button.

The visit type row will open into edit mode.

You will be able to edit the following parameters:

  • Color

  • Duration

  • Description

  • Mark/unmark your visits as available for appointments

Color -> You can customize the color that appears on the left side of each Visit Type to help you get a better overview of your day. Select the color using the color bar and then click on the color map to select the desired nuance. At last, click enter. The color will change.

Duration -> You can set how much time a booked service should be blocked on your schedule. Change the default value in the duration field with one that suits your pratice workflow.

Description -> Adding a description to your visit type will let the pet parent booking an appointment via the online booking system or the pet portal what this visit/appointment type is all about. This will improve your online booking conversion rate.

You add descriptions up to 150 characters long including spaces and punctuation.

Mark/unmark your visits as available for appointments -> You can do that by clicking on the eye icon at the beginning of each visit type row. When the icon is grey, that means that pet parents will not see that visit type in the online booking page or the pet portal when trying to book an appointment. When it is colored, then the visit type is available for booking (provided that it has been added on an individual staff's profile).

Seaching for a visit type

You can look for a particular visit type by typing in the search field above the visit types categories.

All the categories and the visit types corresponding to the keyword you put into the search field will be visible. Deleting the keywork will reset the search.

Change the order of your Visit Types

This will impact the order the pet parent see the visit types you marked as available for online booking in the online appointments page or the pet portal.

To do that, you need to click on the "Reorder your Public Visit Types" button.

A modal with all the current visit types that are marked as available for online appointments will open.

https://vet.digitail.io/reports/appointments and check the Stats section>Visit type.

You can move them around by draging them using the 6 dots icons the is available for each visit type for the arrow icons below the visit type list.

The order in the Visit Type order section will impact the most common visit types as well as the order of the "Other visit types" dropdown list.


📌 To assign the visit/appointment types to a user.

  1. Click on Team on the Left Panel.

  2. Click on the Edit Pencil Icon on the right side of the User.

  3. Scroll down and select the appointment/visit types.

  4. Click On Save.
