Managing and viewing appointments and tasks in Digitail is straightforward and customizable to fit your specific needs. You can access your appointments from the Calendar or from the Flowboard, with various views and filters available.

Calendar Views

There are different views and groupings that you can use to customize the Calendar exactly how you want. You can change the views from the top right side (Month, Week, Day, List) and select different groupings from the Filters sidebar.

Month View

The Month view provides a broad overview of the entire clinic's schedule. The current day is marked with a grey background.

The Month view is ideal for receptionists and practice managers who need an overview of the entire month’s schedule to identify busy periods, plan for staffing needs, and manage long-term appointments. It helps in spotting trends, such as peak days for appointments, and allows for better resource allocation.

Week View

The Week view shows shows a detailed breakdown for one week.

Veterinarians and vet techs benefit from the Week view to manage their weekly workload efficiently. This view allows them to see their upcoming appointments, prepare for specific cases, and ensure they have the necessary resources and time allocated for each patient.

Day View

The Day view focuses on a single day's appointments and tasks, with each staff member having a unique column. From the Filters sidebar, you can define if you want to see only a specific user's schedule or multiple ones at the same time.

The Day view provides a detailed breakdown of each day’s schedule, which is essential for all staff but particularly useful for veterinarians and vet techs. It helps them manage their time effectively, prepare for each appointment, and avoid overbooking.

On both the Week and Day views, you can see the number of scheduled appointments and remaining availability for each team member, color-coded for quick reference.

The colors are as follows:

🔴 Red for 0-49% availability

🟠 Orange for 50-74%

🟢 Green for 75-100%.

List View

The List view displays the week's appointments and tasks in an agenda format.


This view is beneficial for receptionists and administrative staff who need a straightforward agenda format to track appointments or tasks. This display allows them to quickly see the day’s appointments, manage follow-up tasks, and ensure that all appointments are confirmed and prepared for.


Calendar Navigation

We made it easy for you to switch between different views and dates, so you can easily find what you are looking for. Your display preferences are saved, so you can switch from one device to another, or logout and you will see the Calendar exactly as you left it when you come back.

Calendar Filters

With the quick filters, you can display or hide Appointments or Tasks, based on their status.

More advanced filters are available to show the schedule in specific locations (for multi-location clinics) or specific staff members. Instead of selecting staff members one by one, you can also select the 'Display available staff members' option that will auto-select the users that are available on each day/location.

You can hide the non-working hours in you Calendar by selecting the 'Display only available hours' option.

Calendar Views

You can navigate through the different Views by clicking on the desired option.

Calendar Periods

You can also navigate through months, weeks, or days using the left-right arrows or by clicking on the date to jump to a specific day or period.

Calendar Grouping

From the top bar, you can group appointments and tasks by:

  • Staff members (by clicking on the Schedule option) - this is the default display, grouping appointments and tasks by staff

  • Rooms/kennels (by clicking on the Boarding option) - this option will switch to a specialized Room/Kennel grouping

  • Tasks (by clicking on the Tasks option) - this option will filter out all appointments and switch to a List view format

Appointments

Here is a quick overview of how the appointments look like and work in Digitail. For more detailed guides on how to add and manage appointments, click here.

Appointment Preview Cards

Each appointment preview card includes essential details about the patient, client, and the appointment itself.

From the preview card, you can open records, edit or reschedule appointments, leave comments, or access the patient's profile. You can also see an entire history of appointment changes by clicking on the 'see more' button from the bottom of the card.

Additionally, you can start a new conversation via chat, send an email, call the client, or view the route for home visits.

Appointment Statuses

Appointments can have five different statuses, which are displayed as labels or icons on the appointment cards. These statuses help you quickly understand the current state of each appointment.


Flowboard

The Flowboard offers an alternative visualization, grouping appointments by status and stage. You can filter appointments by type, status, team members, and date, and sort them by waiting time.

Clicking on the pet's name provides a quick preview of the client/patient history, with alerts marked by an orange exclamation mark.
