Sync Your Tails VIP SOAP Notes to Digitail PIMS (Beta)

Learn how to easily load your Tails VIP voice-recorded SOAP notes directly into Digitail PIMS.

ℹ️ The new Tails VIP integration lets you instantly load voice-recorded SOAP notes into Digitail PIMS. Record SOAP notes on the go with the Tails VIP mobile app, then seamlessly integrate them into your patient records in Digitail PIMS.


Getting Started

To make the most of this integration, ensure you have:

  • The Tails VIP app installed on your mobile device.

    • The app provides superior audio quality and convenience compared to browser-based recording, allowing you to capture more detailed patient information on the go

🦉 Please make sure you use the same credentials to login in Tails VIP app as you do for Digitail PIMS.

  • A Digitail PIMS account with Tails AI Dictation activated

How to access your Tails VIP SOAP Notes

To access the Tails VIP SOAP Notes, navigate to a Patient’s Health Card > Add SOAP and click on the Start Quick SOAP button. Simply click on the Import SOAP Notes option at the top right corner and the Tails VIP SOAP Notes will be displayed.

Finding and Managing Your SOAP Notes

In the Import SOAP Notes from Tails VIP App window, you can easily browse, search or filter the SOAP notes from the Tails VIP app.

Sort the Tails VIP SOAP Notes

Notes are automatically sorted with the most recent first. You can change the sort order by clicking the column headers.

Search for a Tails VIP SOAP Note

If you want to find a specific Note, just start typing any word from the Note title. The list of SOAP Notes will be automatically refreshed to the most relevant Notes for that search criteria.

Retrieve Tails VIP SOAP Notes for the clinic

By toggling off Only show my notes option, you can see all the SOAP Notes created with the Tails VIP app, by any of the clinic's team members.

Filter the Tails VIP SOAP Notes

Initially, the system displays all your Tails VIP SOAP Notes from the past 3 days.

By changing the Date range, the list of SOAP Notes is refreshed with the Notes corresponding to the selected dates.

Getting back to the default filter can be done by pressing the Reset button.


Importing a SOAP Note

Once you've found the SOAP Note you want to import, you can check its content first, by clicking on the SOAP Note title or import it directly, by pressing the Import SOAP Note button.

The importing process differs, depending on whether you're starting fresh in a new Quick SOAP or you are working with existing data. Here's how both scenarios work:

  • When you click Import SOAP Note in a new Quick SOAP, the system immediately pre-fills the Quick SOAP with the Tails VIP SOAP Note data

  • When you click Import SOAP Note in a Quick SOAP that already has data, you will be asked to confirm if you want to Replace or Append the Tails VIP SOAP Note to the existing data

    • If you click Replace button, your current Quick SOAP data is completely substitutes with the imported Note

    • If you click Append button, the Tails VIP SOAP Note data is added after your existing information

Once the SOAP Note is imported, you can review the SOAP content and Sync it with the Record.

Archiving a SOAP Note

After importing a SOAP Note, the system automatically archives it. All archived SOAP Notes can be found into the Archived SOAP Notes tab. You can also manually archive a Tails VIP SOAP note, by clicking the Archive SOAP Note button.

Or you can manually unarchive a Tails VIP SOAP note, by clicking the Unarchive SOAP Note button.

Undoing an Import

If you have Imported a SOAP Note by mistake, there's nothing to worry about. Simply click on the Undo button at the top, and the Quick SOAP will come back to the previous state before import.
