Customize your Profile

Set up your name, photo, user type, signature, password, and account preferences on the My Profile page.

My Profile is your personal space in Digitail where you set up your name, photo, user type, and account preferences. Getting your profile right matters from day one - your user type controls which features you can access, your photo helps your team identify you at a glance, and settings like your signature or availability directly affect how you appear to colleagues and clients.

To access it, click your profile photo in the top-right corner and select My Profile.


Before You Start

Before setting up your profile, make sure you have:

  • Confirmed your User Type with your Practice Manager (Veterinarian, Technician, Practice Manager, Receptionist, Groomer, or Support Staff)

  • A profile photo ready in .png or .jpg format

  • Veterinarians only: your license number, and a scan or photo of your signature or stamp with a white or transparent background


Set up your basic information

  1. Click your profile photo in the top-right corner and select My Profile

  2. Fill in your First Name and Last Name

  3. Enter your Email - this is your login address and is not visible to clients

  4. Add your Phone number - also internal only, not shared with clients

  5. Add your Job Title if applicable

  6. Select your Language preference

  7. Click Save

To set it:

  1. On the My Profile page, locate the User Type field

  2. Select the correct type from the dropdown

  3. Click Save

Selecting the correct User Type ensures you have access to the right features in Digitail.

⚠️ If you're not sure which type to select, check with your Practice Manager. Choosing the wrong type may block access to features you need - or grant access you shouldn't have.


Add a profile photo

  1. On the My Profile page, click the Browse button next to the Profile Photo field

  2. Select your photo (.png or .jpg recommended)

  3. Click Save

Your photo will appear in the top-right corner of Digitail and next to your name throughout the platform - on charges, tasks, and calendar views.


Add your Signature or Stamp (Veterinarians only)

Your signature or stamp appears automatically on all documents you generate in Digitail: Record summaries, Discharge notes, External Medication scripts, Vaccine/Preventive Treatment histories, and Certificates.

Before uploading, make sure your image is set up correctly:

  • Use a .png or .jpg file

  • The background must be white or transparent

  • The signature or stamp should be centred with equal margins on all sides

Tips for a clean image: Stamp or sign on white paper, then photograph it from directly above. Use a free tool like Canva to crop, rotate, and increase brightness/contrast until the background is clean white.

To upload:

  1. On the My Profile page, scroll to the Signature / Stamp section

  2. Click Browse and select your image file

  3. Click Save

📌 The Signature / Stamp field only appears if your User Type is set to Veterinarian. If you don't see it, update your User Type first.


Change your password

If you know your current password:

  1. On the My Profile page, scroll to the bottom and check the Change Password box

  2. Enter your Current Password, your New Password, and confirm it in the Repeat New Password field

  3. Click Save

If you've forgotten your password:

  1. On the Digitail login page, click Forgot Password

  2. Enter your email address and click Request

  3. Check your inbox for an email from Digitail and click the Reset Password button

  4. Enter and confirm your new password

  5. Click Confirm - you'll be redirected to the login page


Other Settings

Available for appointments - Uncheck this box if your user should not appear as bookable, either internally or on the Online Booking page. When unchecked, you won't show up as an option when creating appointments.

Part-time - Enable this toggle if you work fewer than 10 shifts per calendar month. This affects your clinic's subscription cost, so only enable it if it accurately reflects your working pattern. If you work more than 10 shifts in a month, you should not have the part-time option enabled.

Video call link - Add a URL to your preferred video call tool (e.g. Zoom, Google Meet). This link can be used for telemedicine appointments and client video calls from the Chat.

Access PIN - Generate a numeric PIN you can use as a quick login method when on an approved IP. Click Generate PIN to create one, or Regenerate to replace an existing one.

Two-factor authentication (2FA) - Enable this for an extra layer of login security. You'll be prompted to verify your identity each time you log in. See Manage Login and Security Settings for more detail.

Google Calendar - Connect your Google Calendar to sync your Digitail schedule. Click Connect Google Calendar and follow the prompts. Once connected, you can reconnect or disconnect at any time from this page.


Select your Visit Types

Go to the Availability tab on your My Profile page to choose which appointment types you're associated with. The available types are the ones set up for the entire practice - you can select them one by one or by selecting the entire category.


How to verify it works

Once you've saved your profile, confirm everything looks right:

  1. Check the top-right corner - your name and profile photo should appear there

  2. Click your photo and select My Profile - all your details should be saved as entered

  3. Veterinarians: Create a test document (e.g. a draft discharge note) and confirm your signature or stamp appears on it

  4. If you enabled 2FA, log out and log back in - you should be prompted to verify your identity

If anything looks off, return to My Profile, make your corrections, and click Save again.


Related Settings

Now that your profile is set up, you may also want to:

  • Set your availability and visit types - Go to the Booking Status tab on your My Profile page to choose which appointment types you're associated with and configure your working hours

  • Set your notification preferences - Go to the Notifications tab to control which alerts and updates you receive in Digitail

Common Questions

I don't see the Signature / Stamp field on my profile

This field is only available for users with the Veterinarian user type. Go to the User Type field on your My Profile page, set it to Veterinarian, and save. The field will appear after the page refreshes.

My signature looks dark or smudged on documents

The background of your image needs to be fully white or transparent. Open your image in a photo editor (like Canva) and increase the brightness and contrast until the background is clean. Re-upload the adjusted image.

I changed my password but can't log in

Make sure you're using the new password and that Caps Lock is off. If you're still locked out, use the Forgot Password flow from the login page to reset it again.

Why can't I change my User Type myself?

On My Profile, you can update your own User Type. However, some clinics restrict this to Practice Managers. If the field is locked, ask your Practice Manager to update it from the Team page in admin settings.

Will changing my User Type affect anything already in Digitail?

Changing from Veterinarian to another type will remove your access to prescribing and hide your signature/stamp from new documents. It won't retroactively change documents that have already been created. If you're unsure, check with your Practice Manager before making the change.

My profile photo isn't showing up

Make sure your file is in .png or .jpg format and under the size limit. Try re-uploading - click Browse, select the file, and click Save again. Clear your browser cache if it still doesn't appear.

The part-time toggle isn't visible on my profile

The Part-time toggle only appears for Veterinarian user types and must be enabled for your clinic by your Practice Manager. If you need it and can't see it, contact your Practice Manager.
